Location: Tema, Ghana
Company: Integrated Business Services (Nestlé CWA Ltd.) & Nestlé Ghana Ltd.
Position Type: Full-time
Minimum Educational qualification: Bachelor’s degree in Human Resources Management/Finance or Business Administration or other related course.

Minimum Relevant work experience: 2 years prior experience as HR Services Specialist or Data Analyst.

Nestlé  is currently looking for a HR Services Specialist at our Integrated Business Services, Accra office and at Nestlé Ghana Ltd. to deliver local HR services within defined SLAs (Quality, time, accuracy and compliance), acting as the customer facing representative for administrative activities and providing high quality of information support to HRBP's, Managers, and employees.

Your Responsibilities……

As HR Operational Support:

  • Responsible for HR analytics, including data analysis and reporting to support HR decision-making processes.
  • Efficiently manage aspects of the onboarding process, including handling correspondence, logistics, and necessary arrangements such as hiring in SAP, setting up workstations, phones, and creating employee profiles.
  • Effectively handle the management of employee exits, ensuring a smooth transition and adherence to all necessary procedures.
  • Support the Transfer and Relocation Team with the process for expatriates and missions assignees to ensure a seamless transition to/from IBS Accra e.g Global Mobility initiation, Work permit, Housing, IT Logistics etc.

Payroll:

  • Justify Payroll Audit File for approval by HR Manager and Controller within the SLAs and support to prepare Bank transfer file for payment.
  • Prepare manual transfer for external employees i.e interns.
  • Responsible for the accurate maintenance of HR Payroll Data in SAP by ensuring that information in SAP and Employees' records are consistent at all times for the site. Raise requests for Payments/Deductions changes that affect Payroll eg. Hire, Transfer, Promotion, End Employment.
  • Serves as Integrated Business Services Accra contact for all enquiries on pensions fund administration.

Compliance:

  • Responsible for compliance to working conditions investigation & reporting at the centre e.g 12hrs per day, 60hrs per week & 6+1
  • Serves as HR representative of Internal Audit Team & ensures update of that HR Process Descriptions, SOPs, Tracking of HR KPIs, follows through and ensures that any gaps identified are closed within the timelines.
  • Maintain accurate data on all types of leave, including annual, parental, and sick leaves, ensuring the proper management of absences.
  • Responsible for preparing operational reports on overtime, leave, long service, loans.
  • Ensure everyday audit readiness with relation to all HR Audits - Care Audit etc.

Administration:

  • Raise webforms for necessary changes in employee records, ensuring accuracy and timeliness.
  • Manage employee hospital / medical related issues including the enrollment and termination of employees' Apex Health Membership
  • Provide support to line managers and employees on the use of Success Factors, ensuring effective utilization of the system.
  • Act as a backup for the HR Business Partner in reviews, routine management meetings, and other relevant activities.                                                                                                                                                    
  • Promptly file all relevant documents in employees' files, including letters, legal documents, etc., while ensuring proper maintenance and archival of files.
  • Prepare and participate in monthly reviews with HR Business Services team to assess the impact of services rendered.
  • Support planning of HR events and physical activities at the centre. i.e End of Year Activities. 
  • Provide KRONOS training and effective utilization amongst stakeholders and efficient administration.
