Executive Administrative Coordinator

Position Summary

Provides administrative support to 3 to 4 members of the Gerber Leadership Team (dba Infant Nutrition) This position requires strong organizational and multi-tasking ability while maintaining confidentiality. Must demonstrate excellent interpersonal and communication skills, proactive cooperation, service orientation and time management.  The position requires a proficient level in the use of Microsoft Office Suite. Budget Management for the PO process, working with budget owners and vendors and driving resolution are key to this role.

PRIMARY RESPONSIBILITIES

 


Administrative Responsibilities:

 

  • Manages executive’s time based on understanding of business priorities and other key variables. Proactively scheduling meetings and organizing priorities, addresses scheduling conflicts, sets and maintains schedule of appointments and meetings. Keeps executives “on schedule.”  
  • Coordinate, schedule and manage key meetings, events and conferences, to include the arrangement of meetings, room reservations, meals/refreshments, logistics and travel.
  • Coordinate travel arrangements, prepare itineraries, secure air/ground travel and hotel accommodations. Ensure proper documents are obtained for international travel and. coordinate with overseas officers on logistical details.
  • Responsible for daily office operations: Responds to general inquiries, manages incoming requests and communications, and maintains office efficiency and handles unforeseen situations.
  • Responsible for requisition/ordering office supplies, office equipment as necessary. 
  • Maintains directories and email distribution lists for internal and external clients.
  • Complete ad-hoc projects and other duties as assigned.
  • Presentation and Spreadsheet Development: 
  • Creates business presentations in Microsoft PowerPoint (charts, graphs, etc).
  • Creates and manages business spreadsheets in Microsoft Excel (budgets, distribution lists, birthdays, anniversaries).

 

Liaison:  

 

  • Serves as liaison with other c-suite executives, business leaders, direct reports, employees and external stakeholders. Maintains confidential nature of communications. Meet with direct reports as needed to discuss priorities and business projects.
  • Co-responsible to foster company sponsored events in support of Gerber Culture and social outreach programs (i.e., relationship with March of Dimes) coordinating activities, as needed, with other Executive Assistants on company-wide projects.
  • Follows up on behalf of executive on pending issues to ensure efficient and timely completion of tasks – internal and external.

 

Qualifications


 
REQUIREMENTS AND MINIMUM EDUCATION LEVEL

 

  • High School Diploma, Bachelor’s degree preferred.
  • Minimum of 5 years of related experience required having worked in an executive assistant role. 
  • Advance proficiency in Microsoft Office.
  • Ability to communicate effectively and professionally.

 

EXPERIENCE

 

  • Minimum of three to five years of administrative experience required.
  • Experience in a corporate environment for a Global organization preferred.
  • Expertise supporting C-Level executives preferred.
