Executive Assistant to the CEO
Position Summary:
Nestle USA is seeking a highly organized and proactive Executive Assistant to provide comprehensive support to the CEO. The ideal candidate will possess exceptional communication skills, a strong attention to detail, and the ability to manage multiple priorities in a fast-paced and constantly changing environment. This role requires a high level of confidentiality and professionalism as you will handle sensitive information and represent the CEO in various capacities. Strong interpersonal skills and an excellent understanding of what it takes to support someone at this level.
Responsibilities:
- Manage the CEOs calendar and time with understanding of business priorities and other variables. Proactively addressing conflicts with the ability to see around the corner and connect all the dots to ensure the CEO’s time is spent efficiently.
- Prepare any pre-reads for meetings including agendas, reports, and presentations to ensure CEO is prepared.
- Manage very heavy travel schedule - both domestic and international including commercial planes, private aircraft, transportation, hotels, visas.
- Reconcile travel expenses using Concur, reconcile monthly P Card and monthly BTA card.
- Work collaboratively with ELT members on monthly ELT meeting agenda and arrangements to include agenda setting, catering, room management, IT etc.
- Act as the primary point of contact for the CEOs office both internally and externally.
- Plan, lead, and execute on any special projects that relate to the CEO – offsites, events, conferences, The Farm, etc tracking timelines and deadlines to ensure project is on track across multiple stakeholders.
- Work seamlessly with the Head of Zone Americas office to ensure successful visits by Board of Directors, Executive Board, and other VIPs.
- Manage Office of the CEO Budget
- Coordinate with IT, Security, and Facilities on any office related matters.
- Other duties as directed.
Job Requirements:
- Minimum 7 years of C Suite support experience preferably in a large multinational organization.
Essential Skills:
- Exercises and maintains a high degree of confidentiality.
- Demonstrates professional judgement at all times.
- Excellent time management, organization and interpersonal/communication skills both written and verbal.
- Ability to multitask and juggle competing demands.
- Works collaboratively with ELT, Head Zone Americas Office, Executive Administration Team for both Nestlé USA and Nestlé in the Market (NIM), IT, Facilities, Security and others. Builds and maintains strong relationships with all.
- Detail oriented and results minded.
- Proficiency across following platforms: All Microsoft suite of products, Sharepoint, Concur.
- Passion and champion of the Nestlé portfolio of products.
- Ability to travel on occasion.
