Position Summary

- Act as “face” and "first contact" of Nestle GCR; Have reception area well managed and relevant functions appropriately integrated to receptionist work at BJHO; Promote and maintain a high quality of receptionist work at all sites of Nestle throughout GCR. 

A day in the life of...

- Manage reception area and relevant functions for NCL BJHO, such as visitor management, security and safety briefing; support on training room and Nestle engagement center management.
• Creates an open and friendly atmosphere in the reception area and welcomes visitors/guests in a professional manner
• Implement the visitor management procedure at front desk, and guide external visitors/guests and their hosts to register properly and behave in compliance with company policies
• Brief visitors on security and safety procedures and requirements of the premise; ensure supplies of appropriate company documentations are available for visitors to read. 
• Help HR manage the training rooms located next to the reception area at 9F; help Marketing maintain the Nestle engagement center next to the front desk.

 

- Provide initial point of contact via telephone
• Respond properly to both internal and external calls to BJHO and appropriately direct calls in a timely and efficient manner. 
• Ensure that call placing process meets agreed site protocols, and suspicious calls are logged, recorded and reported accordingly to relevant procedure.

 

- Assist in developing and maintenance of SOPs for receptionist work in association with other stakeholders of company such as Security, Communications, GA, Legal, HR, Workplace Solutions, etc. 

 

- Efficiently and appropriately respond to all sorts of issues and crises in accordance with company procedures.

 

- Acts as role model and instructor of receptionist work throughout GCR; Deliver trainings to receptionists of other Nestle sites in GCR.

 

- Administrative support such as business card and stationary support.

What will make you successful

- College degree or above         

- 5 years direct working experience in the same function                         

- Demonstrated management skills, cross-funcion collaboration, and experience of procedure development                             

- Good presentation skills and analytical skills.                          

- Fluent in oral English; Good in writing with both English and Chinese                                    

- Proficiency in using MS Office (MS Word, Excel, PowerPoint)                                 

- Team work spirit, positive thinking, strong sense of urgency, proactive, result-oriented, able to work under pressure                    

- Detail oriented, quick-minded, independent and responsible                                 

- Excellent communication and interpersonal skills, excellent time management skills
