Commercial Administrative Assistant

Position Summary

 

You ensure administrative support to the sales team. Fixed term  contrat for 1 year.                                                                            

A day in the life of...

 

  • Provide administrative support to Out of Home team; Sales Manager, Key Account Managers and Field Team.
  • Preparation and coordination for internal & external communications:
  • Translations, agenda management, meetings, free products or sampling, new tariff, …
  • Making sure that our customer receives the correct and needed information in the correct deadline + follow up with customer to ensure a flawless process
  • Monitoring and manage incoming invoices and claims in SAP and keep division tracking tables up to date to support budget follow up.
  • Follow-up administrative sales activities by telephone & mail and regular after sales. 
  • Be responsible for the supplier budgets (wbs) and PO's creation and follow up.
  • Create all new customers in the system or communicate and adapt all modification.
  • Has contact with other departments (Marketing, Finance & Customer service) to have the most actual and accurate information to share.                         
  • Develop POSM material according to the needs of the Field and our customers, follow up on quotas, follow up with our partner Adare, follow up on the POSM marketing budget and talk to the manager depending on the needs.                                  

What will make you successful

 

- Bachelor Management Assistant with minimum 3 years’ experience

- Strong language skills in Dutch and French is mandatory

- Good working knowledge of MS Office and at ease with Excel functionalities. Notion with SAP is a plus.

- Rigorous, can manage priorities and follow up deadlines

- Service/customer oriented - curious - eager to ask questions to customers to understand issues
- Easy to communicate with customer, take the phone to call when needed.
