POSITION SUMMARY

This Position requires providing administrative support to Management & Administration of Nestlé Nutrition & Health Sciences Cairo Office

 

 

A DAY IN THE LIFE …

  • Update the calendar of Division Heads on meetings, traveling and annual leaves
  • Coordinate the purchase order processes through following-up on the Operational Buyers for the creation and approval of POs and send it to suppliers, and following-up on them to send invoices to finance department
  • Coordinate complex travel schedules and prepare all documents required for travels and meetings through arranging visa requirements, ticket booking, accommodations, and all trip logistics
  • Follow-up on the business trips and annual leaves of population reporting to Division Head
  • Create Purchase Requisitions, Goods Receipts and Travel & Expenses using SAP
  • Arrange and coordinate logistics for internal and external meetings and workshops (hotel booking, dinner booking, entertainment booking, meeting room set up, stationary needs…etc)
  • Consolidate the minutes of the meetings and send to concerned stakeholders
  • Consolidate the Org Charts
  • Consolidate the proud moments from stakeholders
  • Follow up with the team on monthly meeting presentations
  • Maintain office systems and office supply inventories including data management and filing
  • Contribute to Employee Relations by planning and execution of company’s events and activities (Service Awards, Mother’s Day…etc)
  • Support the NCE Champion in the update of activities for the Market OMP and division OMP
  • Be the owner of the BBSHE Observation measure during the Monthly Operational Review and ensuring BBSHE observation for the division in HO is on track by end of each quarter and spread awareness
  • Track Staff Requisition Forms submitted for the division to assure alignment
  • Communicate with other departments for business to run smoothly
  • Answer and transfer inbound phone calls
  • Receive and direct visitors
  • Compile special reports, letters, and memos using various software tools, including Word, Excel, and PowerPoint
  • Handle and maintain highly confidential and sensitive information
  • Efficiently manage ad hoc administrative activities as requested, ensuring that deadlines are met and prioritized appropriately.

 

 

 

What will make you successful…

  • Excellent command of Microsoft office i.e. Excel, power point, etc...
  • SAP experience is a plus
  • Excellent verbal and written communication skills—involving high-level communications with internal and external contacts
  • Ability to listen and simplify details depending upon target audience; ability to influence others
  • Exceptional ability to organize work and tasks; attention to detail and excellent follow-through
  • Ability to work and thrive in a fast-paced environment and execute effectively against multiple projects and deadlines
  • Strategically think and understand business and industry; see the “big picture”
  • Ability to interface effectively with all levels of staff and executives within the company
  • Demonstrated ability to take initiative, anticipate needs and exercise independent and sound judgment
