Job Specification – Data Sustain & Quality Analyst

Role Purpose

The Data Sustain & Quality Analyst is responsible for maintaining, updating, and validating data from multiple internal and external sources to ensure accuracy, completeness, and reliability. The role also supports Power BI delivery through structured documentation, dashboard handover, and adherence to data governance best practices. This role is essential to ensuring continuous, high‑quality reporting for business stakeholders.

Key Responsibilities

1. Data Extraction & Updates

• Extract data from multiple data sources (databases, Excel files, APIs, SharePoint, manual templates, etc.).
• Refresh and update datasets based on defined schedules or business triggers.
• Perform recurring data maintenance activities to ensure timely availability of reporting inputs.

2. Data Quality & Validation

• Conduct detailed data checks to ensure accuracy, consistency, and completeness.
• Apply quality rules, thresholds, and validation logic before publishing updates.
• Identify anomalies, data gaps, and inconsistencies; escalate issues with clear root‑cause insights.
• Maintain data dictionaries and source‑mapping documentation.

3. Power BI Reporting Support

• Prepare datasets and ensure proper structuring for analytics and visualization teams.
• Coordinate and execute handover procedures for Power BI dashboards.
• Validate that dashboards reflect correct figures after every data refresh.
• Support stakeholders with basic troubleshooting related to data accuracy.

4. Documentation & Governance

• Develop and maintain documentation covering:
• Data sources
• Data refresh processes
• Data transformation logic
• System connections and access dependencies
• Ensure process documentation is always up to date and aligned with governance standards.
• Create handover packs for new dashboards, including refresh instructions and data definitions.

5. Cross‑Functional Collaboration

• Work closely with the Data Analytics & Reporting team on updates, timelines, and change requests.
• Coordinate with business owners to confirm requirements and data dependencies.
• Support continuous improvement by identifying opportunities to automate or streamline data processes.

Key Skills & Competencies

• Strong attention to detail and commitment to data accuracy.
• Familiarity with data extraction methods and working with multiple data sources.
• Basic to intermediate Power BI knowledge (datasets, refresh logic, data modeling understanding).
• Good documentation and process‑mapping abilities.
• Problem‑solving mindset with the ability to trace data issues to their source.
• Strong communication skills for effective handover and cross‑team collaboration.

Experience & Qualifications

• 1–3 years of experience in data operations, business intelligence support, or reporting sustain roles.
• Experience with Excel, databases, SharePoint, and common data manipulation tools.
• Exposure to analytics environments (Power BI preferred).
