POSITION SUMMARY

Responsible for day-to-day administration of HR policies, programs, and routines which includes supporting recruiting, payroll/compensation, timekeeping records, personnel file maintenance/compliance, onboarding, benefits, training, employee relations, safety and employee appreciation.

 

PRIMARY PRESPONSIBILITIES

  • Act as the first point of contact for all HR inquiries in person and over the phone
  • Handle sensitive employee and recruiting information with the utmost confidentiality and discretion
  • Coordinate interviews (phone, virtual, and onsite) with the hiring managers by confirming schedules, reserving meeting rooms and preparing interview materials
  • Assist with new hire onboarding by initiating and tracking background checks, preparing new hire packets, creating orientation itineraries, coordinating security and systems access, assigning storage/locker space, and ensuring all pre-employment paperwork is complete and in compliance before the first day of work
  • Maintain personnel file compliance for every employee and assist with the internal and external audits of HR records
  • Generate basic HR reports (e.g. headcount, turnover)
  • Audit employee timesheets weekly before processing payroll in Kronos
  • Enter predictive schedules into Kronos weekly and track paid leave 
  • Process employee updates and changes in a timely manner (e.g. pay adjustments, promotions, transfers, terminations) by submitting Intake Forms in SAP SuccessFactors
  • Provide training materials and necessary resources for the Training, Safety, and QA teams
  • Collaborate and actively participate in several employee events per year -- ensuring that each event is representative of the company’s image, culture and mission
  • Provide employees with information about benefits programs and assist with the enrollment process
  • Respond to unemployment claims
  • Manage the ordering and maintaining of supplies in the HR Department
  • Draft routine HR communications and announcements
  • Have a basic knowledge of HR policies and procedures to respond confidently and correctly to employee questions, as well as, understand when it is appropriate to allow the Generalist or Manager address the issue in question
  • Assist with the communication and distribution of HR policies and procedures
  • Available to connect with employees in the front office and production areas – promoting good will and support
  • Provide administrative support for projects and initiatives as needed by Generalist and Manager

 

SKILLS & EXPERIENCE REQUIREMENTS

  • Position requires good math and reading ability
  • Strong attention to detail and organizational skills
  • Basic to Intermediate MS Office skills (MS Outlook, Word, Excel, and PowerPoint)
  • Strong interpersonal communication skills with the ability to speak to people of all professional levels
  • Excellent active listening skills
  • Willing to work flexible schedule including overtime & holidays.
  • Knowledge of HR employment Law: federal, state, and local 

 
Preferences:

  • Bilingual (English/Spanish) communication skills
  • At least 1 year of experience in an administrative role
  • Experience processing payroll for a staff of 100+ employees (Kronos is a plus!)

 

MINIMUM EDUCATION REQUIREMENTS

  • Requires a high school diploma or an equivalent but a BS/BA Degree level education in Human Resources Management, Business, Organizational Communication, or Industrial Psychology is preferred.  
  • Prior Human Resources experience is a plus
