POSITION SUMMARY:
The Coordinator Procurement (CP) fulfills a key role within the Nestlé Quality Assurance Center. The CP effectively and efficiently provides support to the building by ensuring that supplies needed for testing and running the facility are available and/or delivered in a timely fashion. The CP is the primary person responsible for ensuring that SAP managed materials are stocked and available for use. This process includes issuing materials from stock rooms to points of use, reviewing daily counts, identifying potential backorders and shortages and documenting and tracking the information for analysis. The CP is responsible for facilitating resolution to potential material shortages by acting as liaison with the subject matter experts (SME’s) and vendors to identify alternate materials for approval. The role of liaison extends to attending other department operational reviews and providing communication, support and analysis or measures as needed. The CP also acts as a supply receiving specialist and physically receives inbound goods and enters the goods receipts into SAP and ensures non-managed materials are properly process and stored or delivered. CP is responsible for ensuring stock rooms and receiving areas are maintained according to Nestlé standards for cleanliness and stocks are managed either to FEFO or LIFO as appropriate.
PRIMARY RESPONSIBILITIES:
Coordination and Support - 80%
- Reviews material levels for departments in scope and replenishes points of use.
- Performs daily goods issue and upload to SAP for stock room replenishment.
- Identifies and facilitates resolution or as needed escalates potential material shortages, delivery issues, packing slip or quality issues.
- Investigates and coordinate potential alternate material solutions between subject matter experts and vendors.
- Physically receives supplies which may include hazardous chemicals, microbial cultures or materials that weight ~50 lbs.
- Performs goods receipt in SAP and scans and processes packing slips.
- Performs cycle counts as directed.
- Reviews and manages daily order confirmations and identify and resolve backorders.
- Ensures stock room and receiving areas are maintained for cleanliness, well organized and optimized with materials stocked for FEFO(First Expired First Out) or LIFO (Last In First Out) as appropriate.
- Identify, participate and lead process improvement projects for the department or cross functionally for the facility.
- Participate in operational reviews both for the department and the departments in scope for material support.
- Initiate, maintain and report analytics/measures for processes and transformational projects as assigned.
- Provides backfill to departments outside of assigned scope as needed and support in other department activities as assigned.
- Presents ideas effectively, actively listens and works across functional boundaries with the ability to effectively communicate with vendors and co-workers. Attends conference calls or meetings as needed.
Quality Assurance - 10%
- Initiates corrective actions or obsevations for quality or vendor issues.
- Updates/ initiates SOP’s or Standards
Training - 5%
- Trains other employees as instructed and/or required for any of the functions listed above. Must be able to demonstrate how to perform the job themselves while training.
Methods - 5%
- Maintains functional knowledge of SAP required to complete job responsibilities within the department including use of Access for label creation.
- Update SOP’s, Forms, Training Records to Date, Train New Associates, Functions Delegated by Managers as required
EXPERIENCE/REQUIREMENTS:
- High School Diploma/GED equivalent required. Basic math skills required; degree or coursework in logistics or general business discipline preferred.
- Above average decision-making, communication & interpersonal skills
- Ability to handle multiple situations & tasks simultaneously
- Demonstrate flexibility to cover early morning, after hour shifts and to allow for PTO coverage.
- Competence in software literacy, including SAP and Microsoft Office.
- Comfortable with handling hazardous materials including chemicals and microbiology supplies and working within a microbiology or chemistry laboratory setting.
- Experience in inventory management or inventory supervision preferred.
- Customer service experience required.
- Experience working in/with an analytical laboratory is preferred.
- Some exposure to food processing or Quality Assurance is beneficial to identify the concerns and challenges of the laboratory
SKILLS:
- Basic computer skills (Microsoft Teams, Excel, Outlook etc.)
- Good verbal and written business communication skills.
- Professionalism and teamwork across multiple departments
- High stress-tolerance and ability to maintain stable performance under pressure or opposition, such as time pressure or job ambiguity.
