Position Summary
In a highly dinamic and fast growing international business, provide high quality and proactive administrative support to the Head of VMHS International. Act as an administrative coordinator for the VMHS International team.
A day in the life of...
• Administration:
o Support a variety of administrative activities specific to working area. Exercise initiative and judgement in handling routine and confidential materials / enquiries.
o Solve complex issues and aids upon request.
o Manage projects and contribute to committee and teamwork. Follow up actions delegated by LM to the team.
• Information treatment:
o Proactively read and analyze incoming memos and mails to determine their significance, define priority and take appropriate actions.
o Maintain Outlook Calendar of Head of VMHS (appointment schedules). Responsible for managing and updating the relevant outlook distribution lists according to the team/LM needs.
o Prepare and communicate meeting agendas. Attend meetings to record minutes if needed, write, and distribute meeting notes.
o Prepare and edit reports, reviews, and presentations. Check consistency, correct spelling, and grammar ensure that Company format policies are followed and recommend revisions.
o Champion communication with Direct Reports, Function Assistants, HR, Total team and other units. Act as spokesperson of the VMHS International team by supporting his/her key messages.
• Events & Travel:
o Assistance in the organization of special events/conferences.
o Organize travel arrangements and logistics for Head of VMHS (Airplane, hotel, car, visa) in line with Nestlé Policy and coordinate with markets when appropriate in case of visits. Manages expenses in Concur.
• Accounting:
o Responsible for creation & follow up of Purchase Requests (PR/PO). Ensure compliance with the Nestlé Purchasing Regulations.
• IS/ IT:
o Upload, produce and maintain team rooms or share points of the department (site master).
o Learn to operate new office technologies as they are developed and implemented and aid upon request. Open tickets for IT issues and look for solutions across the organization.
o Cover for other Assistants positions during vacations and sick leave: check e-mail and voice mail messages, deal with urgent matters, transmit messages.
What will make you successful
• 4-5 years’ experience in a similar role.
• Ability to work in a multinational & complex environment.
• Excellent ability to work in a political environment (tact and diplomacy skills).
• Self-starter and solution-oriented person.
• Flexible, open-minded, and positive attitude.
• Tact and diplomacy skills.
• Very good understanding of the business context and business key deliverables.
• Very good knowledge of MS Office 365 & mobile Apps.
• Natural authority with strong organization & prioritization skills.
• High discretion, reliability, conscientiousness, and resourcefulness.
• Service oriented, open-minded & positive attitude.
• Fluent in English and Spanish, additional languages a plus.
