The Senior Administrative Assistant provides general administrative support to the Nestle Meals facility in Gaffney, SC, specifically the Factory Manager and indirectly, the Factory Leadership Team (FLT.) They communicate with all levels of management, exercise considerable discretion, and independent judgment as well as assisting with calendars, organizing meetings and teleconference calls, preparing documents, correspondence, and presentations.
 
JOB DUTIES/RESPONSIBILITIES
• Handles correspondence for Factory Manager. Handles both incoming and outgoing correspondence and takes appropriate follow-up action as necessary.
• Performs general office clerical duties which includes typing and filing.
• Orders and maintain supplies as needed for various departments across the plant.
• Schedules appointments on Outlook for Factory Manager and others as needed.
• Manages travel and hotel arrangements as necessary for non-profiled employees within the Factory. This includes airfare, hotel, and rental car accommodations and expense reporting.
• Arranges hotel accommodations, meals, rooms, PPE, etc. for special groups or meetings (internal and external) for the Gaffney Factory.
• Maintains records as necessary for Factory Manager and others as requested.
• Coordinates activities for Factory Manager and FLT as needed.
• Ensures Administrative Conference Room and Kitchen area are kept organized and meeting rooms are maintained.
• Support department managers with the ordering, coordination, set-up and clean-up of meals for visitors, training meetings, auditors etc.
• Maintains the Hour of Work for associates and sends out notices for those in violation of the policy. This also includes other assigned duties from HR.
• Manages the Gaffney Factory AMEX BTA Credit Cards for airline, hotel, and rental cars. This includes a monthly reconciliation of all charges and copies sent to Accounts Payable to be paid timely.
• Manages Admin P-Card purchases and reconciles them each month.
• Purchases gift cards, meals, and makes the necessary arrangements for people leaders within the factory.
• Responsible for routine Check Requests/Purchase Orders from an accounts payable perspective and other duties assigned from the finance department.
• Ensures confidentiality in all assignments.
 
EDUCATION REQUIREMENTS
• High School Diploma or GED required. Associate's or Bachelor's degree preferred
 
EXPERIENCE & SKILLS REQUIREMENTS
• At least five years of experience in similar high volume fast paced operations as a professional administrator is required.
• Computer Proficiency and Expert with Microsoft Office (Word, Excel, PPT, Visio).
• Ability to work independently and self-manage workload.
• Must be able to communicate verbally and in written format at a high level and check for understanding.
• Highly organized with the ability to maintain/manage various file systems and work projects.
• Must be able to maintain confidentiality of information.
• Ability to work with a variety of people including various departments and facilities, vendors, contractors, managers, etc.

 

Salary: $51,619.50 to $78,124.00 per year

 

Bonus Eligibility: Yes


The pay range provided is a good faith estimate for the position at the time of posting. Final compensation may vary based on factors including but not limited to knowledge, skills and abilities as well as geographic location. It is not typical for an individual to be hired at top of range.
