Oversee company procedures, health and safety measures and day-to-day facility operation by managing suppliers and Landlords. Support Nestle`s values by implementing office guidelines, “green” initiatives and providing regular feedback on the office performance. Main responsibility includes the monitoring of facility operations, PO/PR/GR creation, and acting as main point of contact for all facility related matters (both for internal and external customers). Additionally, to organize and coordinate administration duties and office procedures, and assist in office guideline implementation and monitoring of compliance.
Screens and routes telephone call and responds to inquiries from the public, vendors, contractors/subcontractors by referring calls to appropriate personnel
Keep inventories and orders company office and kitchen supplies. Assures office and office kitchen areas are neat and orderly when guests are visiting the company.
Greeting visitors and persons entering organization and directing individuals to correct destination.
Coordinating small repair and periodic maintenance activities by external suppliers.
Handling, arranging and distribution of courier packages, letters and maintaining record for invoicing.
Helping maintain workplace security by issuing, checking and collecting badges as necessary and maintaining visitor logs.
Issuing PR/PO and GR in relation to facility services to third party vendors.
Initiate timely rent payment to Landlords and act as main point of contact.
Able to manage small projects with low complexity (e.g. minor refurbishments and move).
Act as main point of contact for employee communication.
Understand local health and safety requirements and ensure compliance with local regulations and/or our standards.
Monitor deliverables by Landlords (maintenance and repair of critical building assets, fire safety standards).
Execute on Sustainability targets (if applicable), energy monitoring and promote sustainable building solutions.
2-3 years’ experience in facilities management or office management
Good verbal, written and presentation communication skills with the ability to communicate with a wide variety of audiences
Organizing, planning, and customer service orientation
Great attention to detail and stress tolerance.
Should be honest, respectful, and trustworthy
