Position summary:

 

As a Senior Administrative Assistant in our dynamic Global Procurement team, you will be reporting to the Chief Procurement Officer, and you’ll play a pivotal role in ensuring smooth operations and supporting key leaders from the Swiss hub.

A day in the life of a Senior Administrative Assistant for Global Procurement:

 

  • Provide high-level administrative assistance to the CPO and CFO, including complex diary management, meeting coordination, and handling confidential information.
  • Manage travel arrangements and CONCUR expenses for the CPO, CFO, and other Procurement Leadership Team (PLT) members.
  • Keep organizational charts and distribution lists up to date as well as creating, maintaining, and managing content on various SharePoints.
  • Keep the Procurement Intranet on the N up to date.
  • Maintain and update Procurement KPIs.
  • Provide administrative support for several projects, including meetings, SharePoints, Teams group management, and access coordination.
  • Organize, coordinate, and support the logistics of various events, workshops, and conferences.
  • Organize the agenda for the monthly Procurement Leadership Team call and coordinate webcasts.
  • Assist the broader Procurement team with organizing leadership meetings, All Hands sessions, and other strategic gatherings.

What Makes You Successful:

 

  • A University degree in Business Administration, Supply Chain Management, Finance, Environmental Studies, or a related field.
  • Previous experience in a similar administrative or coordination role, ideally within a multinational or matrix organization.
  • Strong problem-solving and analytical skills, with the ability to anticipate needs and propose effective solutions.
  • Excellent time management and prioritization abilities, with a keen eye for detail and a commitment to meeting deadlines.
  • A high level of cultural sensitivity and the ability to work effectively across diverse teams and geographies.
  • Sound judgment and discretion, especially when handling confidential information.
  • Fluency in English, French and any additional languages will be a plus.
