MAIN PURPOSE OF THE ROLE: 

 

The Admin Supervisor at Nestle Philippines plays a critical role in supporting our commercial team by overseeing administrative processes and ensuring smooth operations. The successful candidate will possess strong organizational and leadership skills, along with excellent attention to detail and the ability to work in a fast-paced environment. They will be responsible for managing a team of sales administrators and coordinating with various stakeholders to ensure efficient sales operations.

 

KEY RESPONSIBILITIES:

  1. Administration: Oversee all administrative processes, including order processing, sales reporting, and data management. Ensure accuracy and timeliness of sales data, invoices, and other relevant documents. Implement and maintain efficient systems and procedures to streamline administrative tasks.

  2. Team Management: Lead and manage a team of sales administrators, providing guidance, training, and support. Set clear performance expectations and monitor individual and team performance. Foster a positive and collaborative work environment, promoting teamwork and professional development.

  3. Sales Support: Collaborate with the sales team to provide administrative support, including preparing sales presentations, sales reports, and sales forecasts. Coordinate with internal departments, such as finance and logistics, to ensure smooth order processing and delivery. Address any sales-related inquiries or issues in a timely and effective manner.

  4. Process Improvement: Continuously evaluate and improve sales administrative processes to enhance efficiency and productivity. Identify opportunities for automation and digitalization to streamline workflows and reduce manual tasks. Implement best practices and standard operating procedures to ensure consistency and accuracy in sales operations.

  5. Communication and Coordination: Act as a liaison between the sales team, customers, and internal departments. Communicate sales-related information, updates, and requirements to relevant stakeholders. Collaborate with cross-functional teams to ensure effective coordination and alignment of sales activities.

 

KEY QUALIFICATIONS: 

  • Bachelor's degree in Business Administration, Marketing, or a related field.
  • Minimum of 5 years of experience in sales administration or related roles, with at least 2 years in a supervisory capacity.
  • Strong organizational and leadership skills, with the ability to manage a team and prioritize tasks effectively.
  • Excellent attention to detail and accuracy in data management and reporting.
  • Proficiency in Microsoft Office Suite, particularly Excel and PowerPoint.
  • Strong communication and interpersonal skills, with the ability to collaborate with various stakeholders.
  • Analytical mindset, with the ability to identify process improvement opportunities and implement solutions.
  • Familiarity with CRM systems and sales-related software is a plus.
  • Willingness to adapt to changing priorities and work in a fast-paced environment.
