Main Purpose of the Role: 

  • Responsible for the efficient and smooth running of the Executive Board Member's office – keeping the 
    agenda, balancing commitments and prioritizing (internal & external obligations) aiding him/her to 
    respect deadlines. A proactive mindset and ability to evaluate and prioritize, flexibility and amenability 
    with all stakeholders
  • Focused on supporting an individual executive or small number of executives in their day-to-day office 
    activities

Key Deliverables: 

  • Administration - First contact point for all stakeholders (internal & external)
  • Travel & Events Management
  • Finance & Procurement - Consolidate departmental/unit budget planning process act as liaison with the controller
    and ensure the procurement process and payment terms in line with the Corporate guidelines are respected
  • Obtaining and organizing information for use in conferences, speeches, and reports as requested by the 
    executive
  • Editing, proofing, formatting, document design/production, form filling, and data entry
  • Scheduling/coordinating meetings, diaries, and travel arrangements
  • Coordinate and manage the agenda, prioritise, organise and prepare meetings incl. the appropriate 
    documents & prepare induction programs
  • Identify, anticipate, prioritise incoming mail and prepare information required to ensure timely follow-up
