Executive Assistant (Night Shift)

A day in the life...

  • Administrative support for assigned teams. Manage scheduling requested meetings, meeting coordination (confirming attendee availability, booking rooms, setting up teleconference or video conference capability, ordering food, etc.) and processing expense reports.
  • Document management, including proofing different types of documents, including agreements, memos, correspondence and presentation materials, distribution (internal & external) & follow-up, and coordination as needed with other staff, such as routing, signature and delivery of contracts. 
  • Process travel and expense receipts  within applicable Nestle systems (Concur, SAP, etc)  using resources and knowledge of airlines, airports, ground transportation, accommodations, etc., , considering corporate policies and processes.
  • Records and distributes minutes of the meetings
  • Monitors, responds to e-mail communications without fail
  • Prioritizes and manages multiple tasks, and follows through on issues in a timely manner.
  • Answers and manages calls.

Are you a fit?

  • Bachelor degree holder
  • At least 2 years experience as an Executive Assistant
  • With high degree of discretion in handling confidential information
  • Excellent written and oral communication skills
  • Strong organizational skills
  • Ability and willingness to work in different shifts, as needed
  • Strong presentation and facilitation skills
  • Strong knowledge of organization, people and culture
  • Ability to relate to people at all levels of the organization
  • Ability to build strong working relationships, internal and external to the organization
