What to Expect:
The HR Coordinator handles a variety of administrative and coordination tasks to support the HR team operations. The role ensures that the HR team's operations are maintained efficiently, up-to-date, and accurately.
A day in the life:
HR coordination and administrative tasks
- Lead the shared HR email inbox (consult inbox daily, respond to queries, answer questions and redirect to appropriate HR members) complete
- Purchase order (PO) creation and matching of invoices for general HR activities, learning & development activities and some office activities
- Vendor creation, mandatory documents sent to supplier
- Monthly accruals and other related budget tasks as needed (Finance End of year)
- Act as point of contact for expense guidelines for HR department and for Procurement
- Organize and coordinate department’s meetings by arranging facilities, issuing information or invitations
- Approve Business Travel Account (BTA) demands for employees with no Amex but needs to travel by plane including Hotel
- Initiate webform requests for OOL (Object On Loan) for internal employees in Boutique (badge changed, lost)
- Monthly meeting with Admin committee
- Monthly validation for Club Credit eligibility and approves exception during the month
Lead Talent Acquisition Process for the Boutique Population:
- Manage the full-cycle recruitment process for hourly roles (job posting, initiate background checks, prepare offer letters, sending hiring documents, and maintaining candidate engagement).
- Complete administrative tasks in SuccessFactors (SF).
- Monitor and update job requisitions in SF, partner with Hiring Managers, and maintain accurate recruitment trackers.
B2C HR Team Engagement and Support:
- Provide coverage and other administrative tasks as necessary to support TA and HRBP functions
- Actively participate in various HR projects including conducting research and analysis, developing and revising policies/processes, and creating communication materials.
- Utilise continuous improvement in HR to develop functional efficiencies and ways or working.
Data Analytics & Reporting
- Responsible for providing reports for HR but also for other BU; recurrent Monthly and on request
- Monthly preparation of HR KPI for Leadership Team
- Key contact for data and KPI questions and queries
- Translate data and trends into strategies and stories; clearly communicate findings of analysis to HR team and various collaborators
Sales Incentive Plan (SSIP): Monthly and quarterly management
- Adapt a monthly report with HR data
- Interact with BI, Trade, Retail, CRC and Randstad to ensure accuracy of information Obtain eligible earnings from payroll and agencies.
Role Requirements
- Bilingualism in English and French is required for this position. The role involves frequent and complex collaboration with stakeholders across the Canadian market and/or internationally. These interactions necessitate a high level of proficiency in English to effectively perform the tasks associated with the job.
- Diploma in Administration, HR, data analysis or related field
- 3+ years relevant experience in data analysis functions
- 3+ years relevant experience in coordination functions
- Advanced knowledge of Microsoft tools
- Experience in HR analytics including building, configuring, customizing, and implementing reports and dashboards
Preferred Skills
- Strong attention to detail and high commitment to accuracy
- Self-motivated, takes initiative and can work independently
- Ability to multi-task in a fast-paced dynamic environment
