What to Expect:

You will provide high-level executive administrative support and coordination for the Chief Sales Officer and the Senior Sales Leadership Team (SSLT). You will ensure seamless executive operations, stakeholder engagement, and effective leadership routines—anticipating needs, safeguarding confidentiality, and acting as a trusted liaison internally and externally. Note: this position is an existing vacancy.

 

A day in the life:

Executive office coordination

  • Own the CCO’s complex calendar and prioritization, protect focused time, resolve conflicts, and ensure every meeting has clear context, materials, and outcomes.
  • Inbox triage and communications: draft, edit, and send correspondence in the CCO’s voice; flag critical communications; track actions to closure.
  • Meeting & event orchestration: end-to-end planning for SSLT meetings, townhalls, customer reviews, and offsites; prepare agendas, pre-reads, briefs, and minutes; drive follow-ups.
  • Travel management: coordinate domestic/international itineraries, logistics, and contingencies; manage expenses with accuracy and timeliness.
  • Stakeholder liaison & gatekeeping: act as first point of contact for senior customers, partners, and internal leaders in and outside of the Canadian market; exercise judgment and discretion.

 

Sales leadership enablement

  • Coordinate SSLT operating routines (weekly/monthly cadences), build agendas, and maintain the annual sales calendar (reviews, townhalls, trade events).
  • Partner with Coordinators/EAs across Nestlé to align executive access and event logistics.
  • Lead preparation of presentations and talking points for internal and external forums; manage SharePoint file organization and version control.

 

Budgeting & operations

  • Process POs, invoices, accruals, and year-end closures in line with Nestlé guidelines; monitor office and event budgets.
  • Support onboarding for new team members (hardware, meetings, orientation).

 

Trade & industry engagement

  • Co-lead external trade events in partnership with Sales Operations (booth management, vendor coordination, assets, run-of-show).

 

Role Requirements

  • 7-10+ years of Executive Assistant experience in a large, national organization; prior support of C‑suite leaders in Sales/Commercial environments is an asset.
  • University degree or experience of equivalent value is required
  • High level of professionalism and integrity, with the ability to handle sensitive and confidential information.  
  • Outstanding organizational skills with the ability to work well under deadlines and multi-task effectively including prioritizing workload, balance requests from team and daily tasks, find solutions, and identify issues and opportunities.
  • Excellent computer skills, specifically Microsoft Office Suite (including Word, PowerPoint and Excel), SharePoint, Teams and Outlook and demonstrated experience in MS Co-pilot is an asset.
  • Outstanding written and verbal communication skills with confidence and capability in representing the Chief Sales Officer externally with senior customers and partners.
  • Experience planning complex travel and executive events and building presentations
  • Results focus, proactive cooperation, and ownership of outcomes; ability to coach and support other team members.
  • A collaborative team member that works for the benefit of the team.
  • Positive can-do attitude with strong initiative and experience in project management. 
  • A demonstrated interest in learning and understanding the business in order to enhance personal effectiveness.
