Position Summary

We are looking for a Medical Operations Specialist for Nestle based at our North York location reporting into the Medical Channel Director. The incumbent will ensure effective business process implementation through the identification and the administration of critical system data. You will provide monthly analytics to all stakeholders. This will include ensuring all user issues are resolved or escalated within a reasonable timeframe. You will also be responsible for supporting the Medical Field Force in samples management, PO creation & invoice processing as well as PFME budget management.  You will contribute to effectively implementing the medical sales strategy through CRM.  

A day in the life of...

You will also:

Master Data Management: Deployment, Support, Analytics 
Effective overall integration of CRM data in the day-to-day operational decision-making process related to marketing & field operations including: 
•    Working closely with MEDEX to keep CRM aligned with the business strategy, generate monthly report with deep analysis, clear insight, action plan and follow up through Medical Channel Leadership Team  (MEDEX) , RMs and Marketing 
•    Provide all business stakeholders with monthly analysis of the KPIs implemented in the market as defined by the MEDEX.
•    Identify CRM related training needs for all the users, devise/propose training strategy/plan in close co-operation with MEDEX.   
•    Identify on-going training opportunities to re-enforce an effective use of CRM.  
•    Manage the allocation of devices together with the LGO to ensure effective and secure use adhering to Nestlé policies
•    Ensure market specific requirements are communicated clearly to the CRM development team. 
•    Ensure quality data input by all users through proper monitoring, escalation to MEDEX and RMs. 

Samples management and Operational excellence: 
Work with MEDEX to support sampling budget strategy, including ordering samples and working closely with Supply Chain. First contact for all POS issues from the field and trouble-shooting before escalating.  Communicate all shortages, batch codes of products, fulfilment changes to relevant stakeholders. Pull sampling numbers from reports and populate KPI tracking sheet and prepare data for sharing with business stakeholders.

Budget management & PO creation
Create Medical Budget Plans within templates, create POs, process invoices, pull PFME reports regularly and        manage sample funds as needed. Review regional offline tracking and reconcile/advise RMs as needed. Create hospital competitive product budget and manage invoicing and reconciliation process per flow of competitive program and national contracts.

MEDEX Business Meetings and External Conference management:
Working closely with MEDEX, plan, schedule & execute National / Plan of Action (POA) meetings.  
Support monthly MEDEX meetings by building agenda and driving notes and follow ups.
Main liaison between Medical Field Force & Conference organizers to ensure that all conferences are executed as per strategies.
 

What will make you successful

•    Minimum two years senior experience in an administrative/analyst role preferably within a sales environment
•    Knowledge of nutrition/pharmaceutical industry practices with clear understanding of medical field force needs 
•    Experienced in using a systematic approach in solving problems through analysis of data and achieving a clear definition of business requirements
•    Planning & Organizing – establishing courses of action to ensure work is completed efficiently
•    Strong analytical and decision-making skills
•    Ability to deal effectively with a broad base of user issues
•    Excellent written, oral communication and presentation skills combined with excellent time management skills
•    Initiative, flexibility and ability to work independently and produce quality work in a fast-paced environment
•    Professional, confidential manner
•    Bilingual (English/French) considered an asset
