The Office Assistant is responsible for secretarial, administrative, and miscellaneous assignments for the Nestle Sales Office. Must be proficient in handling issues and activities on your own initiative in support of local leadership and the departments as appropriate, exercising independent judgement and discretion. Position requires an individual who can perform tasks in a fast-paced environment and is capable and comfortable working on multiple tasks at a time. Serves as a liaison with all levels of management. This role is a part-time position, onsite Tuesday to Thursday. (24 – 32 hours weekly)
Primary Responsibilities:
The primary responsibilities include but are not limited to the following:
- Representing the company well by deploying a customer service mindset, and a positive attitude.
- Serve as backup to office manager and office administrators as necessary. Key activities include facility maintenance projects, interaction with customers and office guests, new hire on-boarding, supporting safety initiatives and programs, scheduling meetings, preparing expense reports, maintaining department files, managing incoming/outgoing mail and packages, office supplies and snack orders.
- Other projects and responsibilities as assigned, including rosters, periodic or special reports, supporting office wide activities and events, office communications, distributions lists and seating charts.
Requirements and minimal education level:
- High School Diploma or equivalent experience
- 2+ years of previous administrative assistant experience
Skills:
- Excellent communication skills, both oral and written.
- Ability to manage multiple projects simultaneously in a fast-paced environment.
- Strong organizational skills.
- Must be able to work independently while using discretion.
- Detail oriented with excellent problem-solving skills.
- Proficient in Microsoft Suites
- Ability to lift 30lbs.
