We're looking for an Executive Assistant who keeps a CEO and a Leadership Team perfectly in sync - across time zones, calendars, conferences, and the occasional curveball.

This isn't a desk job with a side of admin. You'll be the engine room of Purina's regional leadership: the person who turns ambiguity into action, makes sure the right people are in the right room (or Teams call) at the right time, and keeps a fast-moving business moving even faster.

 

What you'll own

 

  1. EA to the CEO (with broader LT support)
  • Primary EA to the CEO - calendar, travel, T&E, and the full remit of keeping their day on the rails
  • Lighter-touch admin support to other LT members: calendar management, plus travel and Concur (T&E) for designated leaders
  • Anticipate, triage, and re-triage as priorities shift across the team
  • Team Concur superuser; support claims processing for SG office engagement events (e.g., catering payments)

 

2. Leadership rhythm & flagship events

  • Prep for weekly, monthly, and quarterly leadership meetings - agendas, minutes, follow-ups, venues, catering, IT
  • Own monthly and quarterly business updates: collating decks, liaising with presenters, securing off-sites
  • Coordinate All Hands end-to-end: POs, meeting room bookings, invites
  • Lead the LT off-site preparation: venue, agenda, budget, travel, catering, on-site management, etc.
  • Meeting coordination for the Marketing and Specialist teams

 

3. Onboarding & team support

  • Pre-onboarding for new joiners in the Marketing and Specialist teams — laptop requests, locker assignments, the small details that make day one feel effortless
  • Run the induction process: agendas, presenter coordination, attendee tracking
  • Keep employee lists (NPP AOA) accurate, partnering with EAs across markets

 

4. Office, vendors & the connective tissue

  • Designated Office Manager for Nestlé Singapore — facilities, IT, and the day-to-day
  • PO/PR creation under the General Management cost centre; vendor setup, distribution lists, shared folder access
  • Build strong relationships across HR, Sales, Supply Chain, MDO, Finance, Technical, IT, Legal, L&D, Facilities, and the wider Nestlé EA community
  • Liaise with suppliers, event agencies, and external partners with the same care you'd give an internal stakeholder
  • Support HR team with Employee Engagement and Internal Comms events and preparation

 

What you bring

 

  • 5+ years as an EA or in a senior secretarial role; FMCG experience and working in a regional office a big plus
  • Sharp attention to detail and the kind of organisational instinct that catches things before they fall
  • Great communication skills and presence
  • Excellent written communication — you can draft, proof, and edit with confidence
  • Proficiency in MS Office (Word, Excel, PowerPoint) and MS Teams; SAP and Concur knowledge
  • Initiative and autonomy — you don't wait to be told
  • A multi-cultural mindset and the energy to thrive in a matrix environment
  • Discretion, warmth, and a sense of humour for the inevitable curveballs
  • Solid financial and commercial awareness, plus a working understanding of how the key functions (Sales, Marketing, Finance, HR, Supply Chain, MDO, Technical, IT) fit together
