POSITION SUMMARY:
- The Quality Compliance Specialist is responsible for improvement and management of quality systems including Document Control, Management of Change and Internal Audit.
- This role will support the Facility in creating, revising, issuing, and maintaining controlled documents that relate to the manufacture of medical nutrition foods, and all other products produced at the facility in addition to other controlled documents required by the quality, food safety, safety and environmental management teams. Additionally, performs periodic verifications of DC controlled electronic files, archive electronic files and hard copy files. This position will coach users and conduct training related to Document Control procedures/processes as needed.
- This role will have shared responsibility for the Management of Change (MOC) system and MOC philosophy through self-directed efforts as well as through the training and coaching of others. This role also assures completeness of finalized project files and conducts follow up on open MOC action items and has the ability to assess changes and understand the impact of changes as they apply to the food safety and regulatory compliance of our products.
- In addition, this position is responsible for conducting internal audits of Quality, Food Safety, Operations and Maintenance related systems at the Savannah factory. Audits include, but are not limited to NMS, ISO22000, ISO22002, FSSC, customer specific requirements (Organic/Kosher/Non-GMO, etc), Regulatory requirements, as well as Nestlé Instructions and local policies and procedures. The Compliance Specialist is responsible for administration of the Corrective and Preventive Action system.
PRIMARY RESPONSIBILITIES:
- Oversee the Document Control System
- Facilitates the creation, approval, storage, and releasing of controlled documents electronically. Distribute controlled documents to physical locations.
- Coach users on a daily basis in using the DC system. Conduct training related to Document Control procedures/processes as needed.
- Performs periodic verifications of DC controlled electronic files, archive electronic files and hard copy files and Administrator responsibilities for the electronic Intelex software system.
- Scheduling and conducting Internal Audits, including determination of findings and non-conformances for quality, food safety, operations, maintenance and other systems.
- Function as Lead Internal Auditor.
- Plans audits, making effective use of resources, represents audit teams with respect to communication with process owners, organizes and directs audit team, provides direction and guidance to audit team, leads team in audit conclusions.
- Conducts and reviews Internal Audits and assigns findings and non-conformances and completes audit records.
- Reviews completed actions, as result of audits, and approves closure of those actions
- Identifies and communicates non-conformances and trends to Process Owners and Quality Manager
- Updates audit system tracking and reporting
- Prepares and conducts new auditor and auditor refresher training
- Represents factory during External Audits of management systems
- Administers the Corrective and Preventative Action system.
- Reviews Corrective and Preventative Action incidents and assists (where necessary) in determination of action owner, course of action, and verifies the effectiveness of actions completed
- Updates Corrective and Preventative Action systems
- Conducts Training for Intelex system users
- Management of Change (MOC)
- MOC coordinator for the factory, verify completion of risk assessments, host EMOC meetings, ensure compliance and alignment of LMOC, track completion of projects and tasks, drive down the number of overdue.
- Updates Intelex MOC system
- Responsible for the training of new employees as part of New Hire Orientation and other functions on this program.
- Responsible for the update and content of related training material
- Provide regular coaching to system users
- Safety and Environmental:
- Follow factory safety & environmental objectives & targets
- Follow the plant safety rules; report incidents & unsafe conditions immediately
- Maintain compliance with regulations, and refer to the Safety & Environmental Management System(s) on all related procedures and programs.
- Understand the environmental aspects of the position and take action to reduce these environmental impacts by conserving paper, electricity, water etc. Will also recycle all appropriate materials (paper, plastic, food, etc.)
- Quality:
- Follow factory food safety, quality objectives & targets
- Follow Nestle Good Manufacturing Practices; report food safety and quality issues immediately.
- Maintain compliance with regulations, and refer to Nestle Quality Management System on all related procedures and programs.
- Understand the food safety and quality aspects of the position as indicated OJTs and SOPs that apply.
SUPERVISION RECEIVED:
- Reports to the Quality Food Safety & Hygiene Supervisor
SUPERVISION GIVEN:
- This position does not directly supervise others, but must be able to solicit cooperation from others as well as direct others as a system owner.
- FINANCIAL/STRATEGIC IMPACT:
- Maintains the smooth operation of the Document Control System by ensures that all documentation is maintained in accordance with regulatory and Nestle requirements. Shares responsibility for MOC system that identifies risks and mitigation actions of proposed changes in the factory. The position is vital to maintaining FDA expected compliance with Nestlé as well as GMP requirements for management of change. Unauthorized or undocumented changes to infant formula render the product adulterated per FDA.
REQUIREMENTS AND MINIMUM EDUCATION LEVEL:
- Required: Associate Degree in Administrative field or related field.
- Preferred: Bachelor’s degree in Business or Science related field.
WORK EXPERIENCE:
- Preferred: Work experience in a position that handles the regulation/control of documents or management of chan. Experience in a regulated industry.
SKILLS:
- Advanced communication skills, including technical writing and cross functional collaboration.
- Focused attention to detail and commitment to quality.
- Ability to prioritize workload and maintain the flexibility to adapt to changing business needs.
- Knowledge and/or experience in Microsoft Office Word, Excel, PowerPoint and Visio are required;
- Skills in facilitating cooperation amongst peers
