Position Summary

The ideal candidate will be action and results-oriented, blending strengths in organization and decision-making with effective communication & strategic thinking skills.  

 

Key Responsibilities:

 

  • Supports both executives and team with high customer service, being interpersonally savvy and efficient.
  • Own general administrative support to Brand Marketing Team, reporting directly into Vice President & Head of Brand Marketing.  This role will also have the great opportunity to support the Sr. Director of the iconic Starbucks Brand coffee portfolio.
  • Calendar Gatekeeper for Executives     
  • Completes various administrative activities, including but not limited to:
    • Creating/editing/finalizing presentation materials
    • Manage/reconcile expense reports for executives staying current on company T&E policies and keep VP’s direct reports informed of any changes.
    • Compose correspondence (messaging and prioritizing)
    • Coordinating & managing onboarding activities for new partners alongside the hiring manager.  
    • Plan and manage arrangements for meetings and events. 
    • Manage and keep Marketing Team Teams/SharePoint site updated and relevant
    • Vendor & PO Management
  • Provides leadership influence to leaders, partners and admin support team to continuously improve productivity, communications and morale. Works as a team member with other assistants to ensure consistency of operations and alignment with company goals and strategies.
  • Own the important responsibility of often being the “first impression” of Marketing Team Communications via team deployments and invitations. 
    • Serve as liaison with direct reports, colleagues across the team and organization, and external agencies. Maintain confidential nature of communications.
    • Initiate and prepare correspondence on Marketing Leadership and/or managers’ behalf; initiate and follow up on informational requests.
    • When corresponding with partners on calendar requests via email, phone, IM or in-person, ensuring respectful approach and appropriate tone is critical. 
  • Arranges all executive travel & conferences in compliance with existing policies and procedures.
  • Actively engages with team members to ensure alignment of priorities and open communication paths. 
  • Is a primary point of contact for the business unit or department. 


Key Requirements:

 

  • High School Diploma required; Bachelor’s Degree preferred
  • Minimum of 3-5 years administrative experience or coordinator job function 
  • Demonstrates confidence, composure, and professionalism
  • Strong and effective communications skills both clearly and concisely orally and written
  • Project Management experience, with a proven ability to influence cross-functional partners and external agency partners, with a strong sense of urgency/bias for action.
  • Detail oriented and ability to work in a fast-paced environment, independently with minor supervision, thinking through challenges, solutions and proactively offering recommendations.
  • Service oriented. Adaptability to meet changing needs & priorities– internal and external, including nurturing effective working relationships.
  • Demonstrates an aptitude for understanding the business, function and company priorities 
  • Advanced proficiency in Microsoft Office Suite, specifically Teams/SharePoint, Excel, Power Point, and Word.
