We are seeking an Associate Executive Admin Assistant to provide dedicated support to three Vice Presidents of Human Resources, each leading one of Nestlé’s core functions: Technical & Production, Ensure Supply, and Generating Demand. This role is based at our Solon campus.

 

In this position, you will deliver executive-level administrative support and collaborate closely with the Learning & Development team on onboarding logistics. The ideal candidate is proactive, detail-oriented, and adept at managing multiple priorities in a fast-paced environment. This role requires discretion, adaptability, and the ability to work independently while contributing to a collaborative team culture that spans multiple locations.

 

Primary Responsibilities:

 

  • Manage the VPs’ calendars, proactively resolving scheduling conflicts and coordinating appointments and meetings.
  • Support the Learning & Development team, including onboarding logistics for the Manufacturing Leadership Development Program and Supply Chain Development Programs.
  • Arrange all travel and conference logistics, including preparing itineraries, securing accommodation and transportation, and processing monthly travel and expense reports.
  • Oversee daily office operations, including ordering supplies and equipment, handling incoming mail and calls, and maintaining overall office efficiency.
  • Follow established procedures for receiving, documenting, organizing, and mailing packages.
  • Track and follow up on pending issues to ensure timely task completion, both internally and externally.
  • Maintain directories and email distribution lists for internal and external stakeholders.
  • Organize and archive finance and administrative files.
  • Coordinate sample requests, including international shipments.
  • Prepare workspaces and supplies for new hires.
  • Draft communications and create presentations, including charts and graphs.
  • Plan and coordinate department activities, team-building events, and functions.
  • Schedule and manage logistics for meetings and events, including room bookings, catering, and travel arrangements.
  • Collaborate with Nestlé Business Services to research venues for large group off-site meetings.
  • Manage the full accounts payable process from procurement to invoice payment—ensuring compliance with procurement policies and maintaining vendor records.
  • Handle departmental P-card transactions and assist with budget preparation and tracking.
  • Serve as a point of contact for direct reports, employees, and vendors, maintaining confidentiality in all communications.
  • Perform other duties as assigned.

 

Requirements and Experiences:

 

  • High school diploma required; bachelor’s degree preferred.
  • Minimum of 5 years of administrative assistant experience, preferably within a large or multinational corporate environment.
  • Experience supporting teams across multiple locations in a collaborative, team-oriented environment.
  • Prior experience in human resources is a plus.

 

SKILLS:

  • Excellent communication skills, both verbal and written.
  • Demonstrates professional judgment and discretion.
  • Strong customer service orientation, with the ability to support both internal and external stakeholders.
  • Capable of managing multiple projects and priorities simultaneously.
  • Effective team player with the ability to build cross-functional relationships and collaborate across locations.
  • Highly detail-oriented and able to thrive in a fast-paced environment.
  • Advanced proficiency in Microsoft Office Suite (PowerPoint, Word, Excel, Outlook); SAP experience preferred.
