LOCATION: Solon, OH strongly preferred and may require 10-20% travel to event locations for localized support.

 

POSITION SUMMARY:
Provides a high level, complete range of administrative support to the Corporate Quality and Regulatory & Scientific Affairs Team. Supports the planning and execution of key functional events, including workshops, trainings and occasionally may support key Technical & Production events such as the Factory Managers Meetings and Functional Colleges/Academies. 

   
PRIMARY RESPONSIBILITIES: 
The position will provide the following support either individually or through direct coordination across functions, vendors, etc.:  

 

Activities include: 

Event planning and execution coordination:

  1. Responsible for the organization and quality execution of the learning events (Meetings, Workshops, Colleges, webinars, etc) 
  2. Collaborates cross-functionally to plan for events, seeking feedback, establishing agendas and coordinating activities internally and with external parties (eg. Event planning)
  3. Work seamlessly with NBS Event Planning to execute key meetings including Factory Managers Meetings, workshops and related events, Operations College and Category Face to Face events
  4. Event planning, design and production while managing all project delivery elements within time limits
  5. Promotion, attendee registration and communication of events
  6. Selection and contracting of venue, accommodations, food & beverage, catering, offsite activities, transportation, audio visual requirements, logistics
  7. Ensure compliance with insurance, legal, health and safety obligations
  8. Financial payments, reconciliation and cross charging to respective cost centers post event

 

Administration Support for Corporate Quality and Regulatory & Scientific Affairs teams:

  1. Processing of all office supply requests
  2. Onboarding of new team members (greet, introduction to team, desk and equipment setup, tours) 
  3. Exiting of team members (asset collection and expense reconciliation)
  4. Maintain accurate and up-to-date organizational charts
  5. Provide leadership with decision making support around office policies and procedures
  6. Book conference rooms for meetings as requested (including F&B and meeting supplies)
  7. Small/Large package shipping as requested
  8. Calendar management for VP of Quality as well as creating department meetings as needed (Example WOR/MOR/QOR) for the departments you support
  9. Manage Travel arrangements as needed/requested and expense report management
  10. Payment of all monthly invoice transactions through SAP PO’s, BTA Card and Pcard
  11. Monthly AMEX CAR Reconciliation and audit of all financial payment transactions   

 

REQUIREMENTS AND MINIMUM EDUCATION LEVEL:
•    Bachelor's Degree required 

 

EXPERIENCE:
•    3 to 5 years’ experience working in a team environment
•    Project management experience in a corporate and factory environment is preferred

 

SKILLS: 
Candidate must possess and be able to demonstrate the following skills: 
•    Project management skills 
•    Computer Skills: Microsoft Outlook, PowerPoint, Word, Excel, Teams, SAP Concur
•    Strong verbal and written communication fluency
•    Ability to communicate positively and interact with all levels of the organization
•    Ability to execute discretion and handle confidential information
•    Time management with the ability to prioritize in order to meets deadlines 
•    Strong organizational skills with a high level of attention to detail
•    Flexibility and adaptability
