As the Sr Department Coordinator, you will play a crucial role in supporting our Corporate Controlling/Finance team operations. We are looking for an organized, collaborative, and proactive individual who can exercise independent judgment and discretion in a fast-paced environment. You'll work with multiple stakeholders and support various projects simultaneously to ensure our department runs smoothly.
Primary Responsibilities:
- Coordinate on-site logistics for departmental meetings and events, including conference room booking, setup, catering, and technology support. Quickly troubleshoot issues to minimize impact on meeting efficiency and experience.
- Maintain organizational charts and distribution lists for assigned groups.
- Serve as the key liaison between the client group, Workplace Solutions, and IT to support the department. Actively work to minimize disruption and expedite resolution to IT issues, enabling efficiency for the client group.
- Manage the purchase order process, including creating POs and gathering data from various stakeholders to ensure timely payment to service providers. Complete Goods Receipt (GR) transactions for POs.
- Process invoices for the department through P-Card or SAP system, maintaining appropriate vendor files and audit trails.
- Manage third-party service and license agreements.
- Maintain departmental team rooms and SharePoint sites by granting access to team members as needed.
- Collaborate across functions to partner on function-wide projects and provide temporary coverage for peers as needed.
- Provide support on departmental projects and initiatives as assigned.
- Perform other duties as assigned.
Required Education & Experience:
- High School diploma required; bachelor's degree preferred.
- 3+ years of administrative experience required, with experience in a corporate environment strongly preferred.
Essential Skills & Competencies:
- Demonstrated success in managing multiple projects simultaneously.
- Ability to work in a team-based environment, developing a cross-functional network of resources.
- Highly collaborative with stakeholders at the same location and across other Nestlé sites.
- Advanced PC skills required, including MS PowerPoint, Word, Excel, Outlook, team rooms, and SharePoint.
- 5% travel to Nestlé sites (domestically) may be required for events.
