Are you a highly organized and proactive individual with a passion for office administration and human resources? We are looking for a Sr. Specialist Office Administrator to oversee our office operations and support our HR functions. The ideal candidate will possess excellent communication skills, strong attention to detail, and the ability to manage multiple tasks effectively. This role involves managing daily office activities while dedicating approximately 20% of the time to HR-related responsibilities.
Key Responsibilities:
Office Management (80%):
- Oversee daily office operations to ensure a productive and efficient working environment.
- Manage office supplies inventory, place orders as necessary, and maintain budgetary controls.
- Coordinate office maintenance and repairs, liaising with vendors and service providers.
- Organize and schedule meetings and events for the Service Center.
- Implement and maintain office policies and procedures to enhance operational efficiency.
- Assist in onboarding new employees, providing orientation and necessary training.
- Maintain office filing systems, both electronic and physical, ensuring confidentiality and compliance with company policies.
- Travel and Expense Lead User, attend monthly meetings, support team with expense reports and assist with T&E and AMEX questions.
- AMEX purchase card user, responsibilities include monthly reconciliation of charges, collection/scan purchasing receipts to Amex site.
- Support the Service Center leadership with meetings, conference rooms, assist with travel requests, attend weekly check-on meetings with Nestle Professional Solutions Administration Team.
Human Resources (20%):
- Support HR Manager with administration support of Human Resources activities for the Thono Service Center.
- Assist with employee engagement initiatives.
- Plan and coordinate events, including catering orders, set-up, clean-up, and drafting announcement emails.
- Manage on-site company store, including ordering products, inventory, and reconciling funds.
- Maintain Thono Distribution Lists and Thono Rolling Newsfeed.
- Coordinate biometric screenings and flu shots, including scheduling, email announcements, and on-site coordination.
- Attend Monthly Wellness Champion Calls and post wellness materials on company bulletin boards.
Qualifications:
- Bachelor’s degree in business administration, Human Resources, or a related field preferred.
- Proven experience as an Office Manager or in a similar administrative role.
- Basic knowledge of HR practices and labor laws.
- Strong organizational and multitasking skills.
- Excellent communication and interpersonal abilities.
- Ability to maintain confidentiality and handle sensitive information.
