Position Summary
As an Executive Assistant, you will provide high quality & proactive support to the Global Head of Operations and the Global Head of Supply Chain and act as administrative coordinator for their teams.
A Day in the Life of an Executive Assistant
- Manage proactively & timely the agendas, prioritize, organize, and prepare meetings with appropriate documents/information
- Support a variety of administrative activities specific to working area / office management
- Maintain Outlook Calendar (appointment schedules)
- Prepare, edit & compile information required to ensure timely follow-up and decision making (i.e., correspondence, short notes, minutes, distribution lists, reports, reviews and presentations etc.)
- Organize travel arrangements and logistics in line with Nestlé Policy and coordinate with markets when appropriate in case of visits; manage expense reports
- Administer the Procurement process and ensure payment terms in line with the corporate guidelines
- Act as back-up for assistants during absence: manage agendas, urgencies and support department needs

- Proven successful experience as Senior Assistant supporting Senior Leaders
- Trustworthy & reliable with ability to maintain a strict level of confidentiality
- Ability to work in a multinational & complex environment
- Excellent communication skills (written and spoken) & senior stakeholders management skills
- Proactive, flexible & agile, ability to work in a fast-paced environment
- Service oriented, open-minded, and can-do attitude
- Strong organization & prioritization skills
- Excellent knowledge of MS Office, SharePoint and Concur
- Fluency in English & French
