Type of contact: Permanent contract

Position Summary


As a Senior Administrative Assistant, you will provide high quality and proactive support to the VP Operations Manager & the Head of Strategy and Business Development for Zone Latam. You will keep the agenda, balance commitments and prioritize in order to respect deadlines.  

A day in the life of a Senior Administrative Assistant

 

  • Proactively coordinate and manage agendas, prioritize, organize and prepare meetings with the appropriate documents
  • Identify, anticipate, prioritize incoming mail and prepare information required to ensure timely follow-up (i.e. for correspondence, minutes, presentations, etc.)
  • Update organigrams /absences/ holidays and other key information 
  • Organize travel arrangements and logistics as well as internal or external visits, events & seminars; manage expense reports
  • Act as the first contact point for internal and external stakeholders            
  • Manage budget tracking and support on the PR/PO 
  • Maintain content of Digital platforms and contribute to innovative solutions
  • Act as back-up for the Zone assistants

What will make you successful

 

  • Confirmed experience as Senior assistant within Nestlé or at least 5 years’ experience in a similar role
  • Excellent interpersonal, communication & stakeholder managements skills
  • Proven organization & prioritization skills with ability to work in multinational environment
  • Trustworthy and reliable with ability to maintain a strict level of confidentiality
  • Flexible & agile with a high sense of collaboration & can-do attitude
  • ISIT Savvy: very good knowledge of MS Office applications (especially PowerPoint), Intranet, SharePoint, Workplace and Concur
  • Fluent English, any other language would be a plus (Spanish an asset)
