The Senior Specialist, Project Management position is responsible for initiating, defining and managing high-profile creative projects of considerable complexity. This position ensures completion of projects, along with implementation and optimization of processes, ways of working, reporting, and creative review; ensuring projects are delivered on time, within scope and aligned to Brand Guidelines and standards. The Senior Specialist, Project Management position has full project life cycle ownership; organizing and facilitating kick off meetings, leading, coordinating, and completing projects from planning to creative execution. This includes the development of meaningful reports on project and resourcing optimization to support business goals. This position monitors project milestones and identifies potential barriers, providing recommendations and solutions to ensure successful project completion. The Senior Specialist, Project Management position regularly provides project analysis, project prioritization, timelines & assignment of resources to stakeholders and is the key liaison of communication between internal and external resources, cross-functional team members and the internal creative team.

 

This is a remote role with anticipated monthly travel to our corporate office in Bridgewater, NJ.  Top consideration will be given to candidates local to our corporate office.

 

Key Responsibilities:

People Functions:

  • Establishes and maintains clear communication on timelines, deadlines, and project status; proactively identifies risks and drives issue resolution while managing stakeholder expectations.
  • Executes project requests and serves as a primary liaison across stakeholders and leadership at multiple levels.
  • Leads and contributes to meetings, using both analytical and creative thinking to drive decisions, teamwork, and clear next steps.

Service Functions:

  • Directs and delivers creative projects and operational initiatives, defining scope, goals, success measures, and timelines while ensuring timely execution.
  • Partners with leaders to drive outcomes, using data to inform prioritization and recommend process improvements.
  • Collaborates cross-functionally to align priorities and ensure consistency across projects.
  • Applies project management best practices, including briefing, data collection, and analysis to improve efficiency.

Quality Functions:

  • Monitors and evaluates project performance using data, and communicates insights and recommendations to stakeholders.
  • Develops and delivers training and communications on project management best practices (e.g., briefings, timelines, feedback loops).
  • Drives execution of strategic plans by tracking progress, managing deadlines, identifying risks, and implementing solutions; leverages project management tools to support reporting and resourcing.

Growth/Innovation Functions:

  • Assesses trends, challenges, and opportunities to inform planning and continuous improvement.
  • Contributes ideas and participates in initiatives that enhance team effectiveness and service delivery.
  • Maintains an active Personal Development Plan (PDP) and engages in ongoing career development discussions.
  • Other duties as required.

 

Requirements

  • Bachelor's degree in Marketing, Communications, Business Administration, or a related field.
  • 3-5 years of experience in project management, preferably in a creative environment.
  • Strong understanding of creative processes and the ability to manage multiple projects.
  • Excellent organizational, communication, and interpersonal skills.
  • Proficiency in project management tools and software.
  • PMP certification is an advantage.

 

Preferred Skills

  • Experience in digital marketing, design, or copywriting.
  • Familiarity with creative software (e.g., Adobe Creative Suite).
  • Project Management software experience / tracking, Microsoft Excel, PPT, Microsoft Word. Monday.com experience a plus
  • Advanced spreadsheet skills and intermediate word-processing and presentation software skills.
  • Strong analytical and presentation skills.
  • Proficiency in English for medical, legal, and regulatory reviews.
  • Effective communication with co-workers and clients.
  • Ability to handle confidential information professionally.

 

The approximate pay range for this position is $105,000 to $115,000. Please note that the pay range provided is a good faith estimate for the position at the time of posting. Final compensation may vary based on factors including but not limited to knowledge, skills and abilities as well as geographic location.
